Preparing franked mail for postage – 

franked mailboxThis may seem like a simple process but from our mailroom audits we’ve found that many franking machine users over pay on postage simply by packaging items incorrectly or assigning the wrong level of postage. 

Fold post where possible – Sometimes simply folding a letter and placing it into a smaller envelope can lead to a reduction in the franked mail postage cost.

Check the rate – It’s surprising the amount of businesses that attach the wrong rate to their franked mail. One of the most common mistakes is confusion between large letters and small parcels.  It’s always worth checking, but a large letter can be up to a weight of 750g and have maximum dimensions of:

Length = 353mm

Width = 250mm

Thickness = 25mm

How do I post my franked mail?

Each of the following can be used to post your franked mail:

1) Franked Mail Box (often found on business parks and in areas where there are several businesses

2) Local post office

3) Local sorting office

4) Paid Royal Mail collection either timed or un-timed, this is chargeable depending on annual spend with Royal Mail.

How should I organise my franked mail for collection?

If you have a lot of mail for collection this should be provided to the collecting post man in mail bags. Royal

Mail franked mail bags are roughly A4 in size and mainly used for standard letters and large letters. Mail sacks are an option also and are much larger.

First and second class mail must be sorted separately.

What about recorded mail?

If you have any mail which you have to send “Signed For” or “Special Delivery” this will need to be signed off by the post office before posting. Alternatively, if you arrange a collection, the postman collecting your mail can deal with this.
